MEETING MINUTES

Present: Gay Barzee, Carol Bugni, Linda Burnett, Lisa Clements, Shelly Doty, Guen Johnson, Jaque Johnson, Lynda Robinson, Brenda Ross, Claude Sheffield, Kenny Wiscombe

Meeting called to order at 2:00

Presentations

1. Linda Walters and Raul Enriquez/Sage Community Resources:

• Southwest Idaho Area Agency on Aging, a division of Sage Community Resources contracted thru the Commission on Aging, provided brochures that detail resources offered in the communities of Idaho.  There are six area agencies which are contracted thru the Commission on Aging that are private non-profit organizations and are separate from the Social Security Administration.
• Most Services are free thru state and federal funding, along with some grant money.  Homemaker Services is based on sliding fee scale. 
• The goal of the agency is to keep seniors in their home as long as possible.
• Seniors eligibility requirement is 60 or older or 55 or older for caregivers.
• For information and assistance call 1-800-859-0324.  The Information Assistance Specialist will conduct an initial intake of the situation and will refer the case to a case manager for a complete in- home assessment to evaluate household needs.  They can also refer individuals to other agencies that provide various community services.  Income is not a general factor in determining needs, although some services are guided by income.
• Family advisors caregivers assistance to find resources for the seniors they care for.
• They can provide home delivery of meals and transportation services.
• They provide monthly orientation and further training on various topics and specialized workshops for caregivers, along with counseling and assistance.

2. New Senate member Kirk Whittaker replaces Debbie Porter, who resigned her position as an ACE Senator.  Kirk will serve for a 2 year term.

3. Community involvement

• Kenny gave a brief overview of looking into working with University Housing and Human Resources to join Rake Up Boise Teams.
• Brenda reported that the Professional Senate staff would like to join Ace Senate to assist the Volunteer Board with their projects.  Awaiting further information on the Volunteer Board projects and dates.

4. ACE Name Badges – report on costs

• Two options were presented.  The final costs have been established
• Option 1 cost $4.00 per badge.
• Option 2 cost $15.06 for 30 badges.

A motion was made and seconded for option 2, motion carried.

5. Selling items for the Bookstore to raise money for the Goodwill Fund

• Guen is awaiting word from BSU Bookstore.  It looks like this may be a possibility for next year as a fund raiser.

New Business

6. Electronic Letterhead

• Carol presented a request to purchase electronic letterhead from Printing and Graphics for email of ACE letters and various correspondences, which would be a one-time charge.

A motion was made and seconded for option 2, motion carried.

7. Emeriti policy

• Carol gave an overview of her efforts reviewing additional University websites and corresponding with their Human Resource personnel in an effort to update BSU Classified Staff-Emeriti Status policy.  Carol presented the Senate with some possible changes for the Senate’s review.  Carol will continue to update the Senate on her findings at the November ACE meeting, at which time the Senate will also hold a discussion on bringing forth the changes to the Policy Advisory Group.

Committee Reports for ACE meeting on 10/16/2007

BSUAOP Representative

Professional Development Day was finalized with advertising.  Packets will be done on 10/1.  Thank you mugs will be on hand for speakers.

Holiday Auction letters will be sent out to Administrative Assistants and Management Assistants for donations and auction baskets.

Scholarship requests and policy were discussed.  The policy will be reviewed and updated as needed.

The next newsletter will be coming out sometime in November.  The policy on newsletters will be reviewed and updated as needed.

Doing work for ESPN at one of the games is full.  BSUAOP will be selling Bookstore items during the October 14^th and November 17^th games.

Accreditation Self-Study

NWCCU made a presentation on the self study and what it should entail.

Jim Munger presented a PowerPoint presentation that clearly laid out the data and how it would be retrieved and used in the process.

We continued work on more of the Standards 1, 6 and 9.

Legislative Issues

Governor Otter’s plan was touched on in an Idaho Statesman story.  More information is not yet available.  We will be meeting with various legislative members in the next couple of months.

Policy Advisory Group

Two new policies were given a first read: Employee Payroll Checks, Administrative Service Charge.  Suggestions and changes were made and they will be presented again at the next meeting.

Goodwill Fund

Discussed ideas for fundraising

°  Sell BSU memorabilia at tailgate parties before the game.  Carol will check with Mike Reed to see what we can arrange for next year.

°  Silent Auction – held in May before Mother’s Day.  We just need a few good items donated.  Guen can arrange to have items in her area and people can go there to bid.

°  Fun Walk during a lunch hour for faculty/staff.  Have teams with prizes for teams.  Charge a minimal fee per person ($5.00?).  Do in spring?

°  Annual Chili Feed in February.  Get food items donated.  Hold at St. Paul’s?  Theme for 2008 could be leap year related.  Gay will make a BSU quilt to raffle.  Tickets for quilt will need to be sold in advance and would be given away at the Chili Feed.

Guen is also looking for books at the library that could help with fundraising ideas.

Reminder: ACE meeting times have been set for the 3^rd Tuesday of each month, 2-3 pm.  This is the same as the past year meeting times.   A schedule of meetings and locations has been placed on the ACE website.

According to Human Resources, BSU employees will be permitted a total of one hour per month release time from work to attend professional representative organization meetings with supervisor’s approval, officers will be permitted a total of two hours per month.  ACE meetings are included in this policy.  (Per Human Resources, all policies are currently under review.)

The ACE Senate encourages all classified staff who is interested to attend the monthly meetings. 

A motion was made to adjourn the meeting and seconded.
