BroncoPrint - Credit Procedures

Students may request credits to their accounts. Some of these requests will be acceptable and some will not.

We offer the following guidelines for what is an acceptable request and what is not. The Lab Manager of the facility in question has the authority to make the decision of whether or not to grant an individual credit.

    Acceptable Reasons

  • A printer failure caused a job to be billed but not printed. This is a rare occurrence, since the job should automatically reprint if not successfully completed.
  • A print job does not print correctly. For example, we have seen Adobe PDF jobs print without graphics from time to time, thus the student has paid for a job that is not usable.
  • A print job charges for an incorrect number of pages. This is a rare occurrence, and should be verified/repeated by the lab manager.
  • A print job is unusable due to poor toner saturation or fuser problems

    Unacceptable reasons

  • A student authorizes a print job using duplex and does not want the job duplexed.
  • A student authorizes a print job with an error that causes multiple pages to print. In order to print, the student confirmed the page count & cost of the job twice.
  • A student prints multiple copies of the same job, but only wants a single copy.
The simplest and most expedient way to handle a credit is to use a BroncoPrint card issued to the Lab Manager of each lab to offer a Free Reprint to the student. This can be done at the Lab Manager's discretion and will get the student on their way as quickly as possible, with no further need for an adjustment to the student's account.

For instances where this "Free Reprint" will not work, such as a PDF that does not completely print, or where a job may have been billed for an incorrect number of pages, a credit to the student's account may be in order.

To request a credit, the student will need to advice a Lab Monitor or the Lab Manager of the problem. The Lab Monitor or person handling the complaint should complete a Print Problem Form and give it to the Lab Manager.

If the Lab Manager feels that this is an acceptable request, they will fill out the online "BroncoPrint Credit Request Form" and the credit will be processed by OIT Business, usually by the end of the next business day. The "BroncoPrint Credit Request Form" is secure and is only accessible by a predetermined list of authorized Lab Managers. In order to access this form, the Lab Manager must have an Active Directory Account. If they do not have an Active Directory Account, they can get one through the Help Desk.
