OFFICE OF SPONSORED PROGRAMS
Proposal Preparation
The following guidelines are intended to be an overview of the sponsored program grant proposal submission preparation. We recognize that each grant proposal submission has its unique challenges and opportunities and we look forward to working with you in a collaborative and supportive environment to ensure the best possible outcome for your proposal.
Steps to a successful proposal submission:
- Please involve OSP as soon as you have decided to submit a proposal
- Obtain proposal development and submission guidelines provided by the sponsoring agency and forward to your business manager and the Office of Sponsored Programs (your Senior Research Administrator)
- Inform your Senior Research Administrator and your Business Manager of your intention to submit a proposal, the submission deadline, and any additional information such as cost sharing requirements or collaborations/subcontracts to other entities
- Develop the budget using the OSP Budget Template (fringe benefit rates, travel and per diem rates, mileage rates, and other information helpful to preparing budgets is available below). Consult with your Senior Research Administrator for assistance as needed
- Write and complete all proposal components as specified in the sponsor instructions
- Complete a BSU Proposal Data Sheet, attach the budget along with draft narratives, outline or project summary, and circulate to your chair, dean and the Office of Research Administration for review, approval and signatures at least one week prior to deadline. Additional modifications to the proposal are still permitted up to the submission deadline
- If possible, identify any cost match sources at this time and complete cost share form
- Provide the completed proposal to your Senior Research Administrator 3 days prior to the deadline
- OSP will review the budget and guidelines to ensure accuracy and compliance
- Hard copy proposal submissions will be returned to you to submit to the agency
- Electronic proposal submission guidelines vary by sponsor; if electronic proposal submission is required, notify OSP immediately.
