Why are we moving to Canva?
Many faculty and staff are already using Canva in different ways — Pro, Teams, or free accounts. Moving to Canva Enterprise brings us together in one secure, centrally managed environment. It improves security, simplifies license management, and ensures we’re aligned with contract and licensing best practices. It also makes collaboration across campus much easier.
Will I lose my existing designs, folders, or brand kits?
No — you should not lose your content if you follow the transition steps. When you log in through Boise State’s Single Sign-On (SSO) and migrate your account correctly, your existing designs will move with you. We’ll provide clear instructions to make this process smooth.
Current Pro or Teams users can transfer existing designs into Enterprise. Transfer designs before canceling a paid plan using this guide: Transfer designs.
What do I need to do to transition my current account?
You’ll log in using your Boise State credentials through SSO and follow the account migration prompts. If you already use your Boise State email for Canva, the transition is usually straightforward. This step-by-step guide will walk you through it: Transfer designs.
What happens to Canva Teams we’ve already created?
Existing Teams will need to transition into the Enterprise environment. In most cases, your content can be moved into the new structure. We know collaboration spaces are important for departments, so we’ll work to make this as seamless as possible.
Why can’t shared mail drop or departmental accounts continue to be used?
Canva’s Enterprise agreement requires individual user licenses tied to a person’s credentials. Shared accounts (like mail drops) don’t meet security and contract standards. Moving to named-user access improves security, accountability, and long-term stability.
What’s the process for requesting a prorated refund from Canva when cancelling an account?
Please reach out to Canva Support to cancel your Canva Pro or Teams annual subscription and request a refund.
Monthly subscriptions will not receive a refund. After transferring content, cancel your monthly subscription in the app.
Will this cost my department anything?
Yes. Departments will fund their own Canva Enterprise licenses at $195 per seat annually. The updated pricing reflects Enterprise-level features, expanded security, and improved collaboration tools that support our campus needs.
How does Single Sign-On (SSO) help?
SSO means you log in using your Boise State credentials. This improves security, reduces password management issues, and ensures access automatically updates when roles change. It also helps protect university data.
Will Enterprise limit any features I currently use in Pro?
In most cases, Enterprise includes the same features as Pro — plus added administrative controls and collaboration benefits. If you’re using a feature and are unsure whether it’s included, let us know and we’ll help clarify.
What support and training will be available?
Along with the great training resources available in Canva, we’ll provide campus training sessions and ongoing support. Our goal is to make this transition clear, manageable, and low-stress. If you get stuck, we’re here to help.
What happens if I don’t transition by the deadline?
After rollout, Canva Enterprise will be the only way to access Canva using a boisestate.edu email. To avoid losing access or interrupting your work, we encourage everyone to complete the transition before SSO becomes required July 1, 2026.
Will we still be able use Marq templates?
As we build out our enterprise account, brand templates will migrate from Marq in phases, starting with general templates, Bronco Day, and Beyond Boise State. Additional campaign templates will roll out based on event timing.
Boise State faculty and staff now have access to Adobe Express. Why should I use Canva Enterprise if I have access to Adobe Express?
Canva Enterprise is Boise State’s official design templating platform, with built-in brand kits, ready-to-use templates, and shared tools that make it easy to create on-brand materials quickly. While Adobe Express supports RGB for digital designs, it does not support CMYK for printing—making Canva Enterprise the better choice for both digital and print.
Does Canva meet accessibility standards?
Yes, Canva offers accessibility features and tools, but creating accessible content starts with the choices you make as a designer. Our Canva accessibility resources page includes tips and best practices to help you create content that meets our accessibility standards.
Marq
Boise State’s Marq contract will sunset in August 2026. With SSO for Canva Enterprise scheduled to become required on July 1, Marq users should review their current projects and determine which need to be moved to Canva before June 30, 2026 to ensure continued access.
How to Export and Move Your Marq Projects to Canva
To bring your work into Canva, you’ll first need to export your projects from Marq:
- Open your project in Marq
- Select Download and choose PDF Print for the highest quality (recommended)
- Save the file to your computer
Then, upload into Canva:
- Log in to Canva Enterprise using your @boisestate.edu account
- From the homepage, click Upload or drag and drop your PDF into Canva
- Canva will convert your PDF into an editable design
Tips for Best Results
- Use PDF Print (not PNG or JPG) to preserve layout and text as much as possible
- After upload, review each page carefully—some fonts, spacing, or effects may need minor adjustments
- Reapply Boise State brand fonts and colors using the Canva brand kit for the most accurate results
- For complex layouts, you may find it easier to rebuild the design using a Canva template or from a blank page
