Boise State Departments

Welcome to the Departmental Catering resource page. To uphold Boise State University’s standards for food safety, institutional risk management, and legal compliance, all departments must adhere to the protocols outlined below when coordinating food for campus meetings and events.

Events $350 and Under

“For expedited event processing, Departments are strongly encouraged to select vendors from the BSD Approved External Caterers List. Utilizing these pre-vetted partners streamlines the administrative review process and guarantees that the caterer meets the University’s rigorous safety and insurance requirements.”

Events Between $351 and $1999

To ensure compliance with University health, safety, and insurance regulations, all departments must utilize a vendor from the BSD Approved External Caterers List . These vendors have been pre-vetted to meet institutional risk management standards.

Events Over $2000

Per University policy, Carved & Crafted maintains the Right of First Refusal for all campus events with a food and beverage total exceeding $2,000.

Protocol if Carved & Crafted Declines: Should the Carved & Crafted team be unable to service your event, departments must follow these steps before booking an outside vendor:

Select an Approved Vendor: Once approved, departments may select a caterer from the BSD Approved External Caterers List .

Submit a Catering Exemption Form: Documentation of the declination must be filed.

Await Formal Approval: Review and approval by Campus Dining are required before proceeding.

Event with Donated Food

Before accepting a catering donation, please ensure the following steps are completed to remain in compliance with campus dining policy:

  1. Verify the Donor: The donor must be a BSD Approved Vendor.
  2. Submit Form: Complete the Catering Donation Review Form.
  3. Lead Time: Ensure your submission is received at least 30 days prior to your event.

Note: Failure to submit the review form within the 30-day window may result in the denial of the food service request.

Prohibited Vendors

To ensure compliance with State of Idaho law and University legal standards, the use of third-party delivery platforms and online “click-through” agreements for catering is prohibited.

The following platforms are not authorized for University purchases because their terms of service contain legal language that the University cannot legally accept:

  • Uber Eats
  • EZ-Cater
  • DoorDash
  • Any online platform requiring acceptance of an End User License Agreement (EULA) or “Click-to-Agree” terms.
  • Before initiating any food purchase or delivery, please verify that the vendor does not require a digital agreement. For a list of vendors that are already vetted and compliant, please refer to the BSD Approved External Caterers List .
Why is this prohibited?

Purchases that require a user to click “I agree” or proceed through a digital checkout screen constitute a binding legal contract. Under University policy, individual employees are not authorized to enter into these agreements unless they have been formally reviewed and approved by the Office of the General Counsel.
