Event Planning Process
It is important to reserve your event date(s) as far in advance as possible. Certain dates can book nearly a year in advance. Please submit a Rental Request Form for approval. We review the submissions as a team each Tuesday afternoon and will let you know if your event date(s) have been approved. Upon approval, please work to plan out event details with us.
Please plan event details no later than 30 days prior to the event date. This will include room setup, parking, AV needs, catering, etc. You can set up an appointment with your event coordinator to discuss these details. This meeting can be via in-person walkthrough, Zoom, or phone call.
Internal catering and bar orders to be placed no later than 14 days before the event.
Parking requests need to be submitted no later than 10 days prior to the event. Any late submissions will incur a late fee. It is always best to get your parking request submitted as soon as possible since parking is first come first served. You can then make edits if needed.
Final event details and final catering counts need to be finalized and submitted no later than 7 days prior to the event. Any substantial changes requested less than a week prior, or on the event day, will be subject to an additional fee.

Final invoices can take up to 2-3 weeks post event to compile. Once finalized, a final invoice will be sent at that time. If possible, we do have a Post Event Survey you are able to fill out with any feedback you might have on your experience.
If cancellation occurs prior to the event, the deposit of 50% of the room rental price will be forfeited.
If cancellation occurs 30 days or less prior to the event, 100% of the room rental price will be forfeited.
If cancellation occurs 7 days or less prior to the event, 100% of the room rental price will be forfeited, as well as $100 cancellation fee will be added.
