Purpose

Responsible for relocation planning, management and logistics and provides assistance to University departments for various moves that support the University’s strategic plan.

Level Scope

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity.  Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action.  May provide guidance and assistance to entry level professionals and/or support employees.

Minimum Qualifications

Bachelor’s Degree and 2 years of professional experience or equivalent relevant experience.

Knowledge, Skills, and Abilities

  • Expertise in negotiations
  • Excellent communication skills, both written and verbal
  • Ability to handle multiple competing priorities and projects
  • Excellent organizational skills
  • Move coordination/tenant occupancy experience
  • Experience with budget management

Essential Functions

Key Responsibilities

60% of Time the Campus Relocations Coordinator must:

  • Determine/coordinate move schedules and timelines with departments that align with the University’s strategic plan.  Collaborate with occupants to determine relocation goals, relocation schedule, phasing plan as necessary
  • Develop and manage move budgets and ensure adequate funding is in place
  • Help facilitate move-in details such as cost estimating, cleaning, packing, relocation of boxed items and equipment (furniture, copiers, printers, phones, coffee services, supplies, keys and etc.) with the end-user
  • Coordinate individual department needs in providing furniture and space planning design services while utilizing knowledge of commercial architectural and/or interior design professional practice procedures.
  • Perform walk-throughs of vacated space with prior occupants to determine if existing space is ready for occupancy.
  • Contract and oversee vendors associated with the move process
  • Process payments and invoices associated with moves
  • Work with project manager to reconcile final moving and/or FFE budgets

Work Environment and Physical Demands

Some positions may involve frequent bending, moving, lifting, and carrying material weighing up to 50 pounds; some positions may involve moving, lifting, and carrying material weighing up to 70 pounds; standing up to eight hours each day; working in all weather conditions; exposure to high noise levels and require wearing hearing protection.

Travel Requirement

Travel is primarily between office and on-campus locations. Very occasional travel to off-site campus locations (downtown, Nampa campus, leased spaces within the Boise area).  Travel time is about 5% of the day.

Additional training/education or equivalent experience, as well as business need, are required for movement into higher level jobs.
