Purpose

Coordinate with multiple areas on campus to successfully maintain and integrate University ERP systems and other systems, processes and data. This position is responsible for ensuring that information technology needs are met and that appropriate levels of engagement are ensured across campus projects and systems.

Level Scope

Manages a large team typically consisting of both experienced professionals and subordinate Managers. Focuses on tactical and operational plans with short to mid term focus; significant responsibility to achieve broadly stated goals through subordinate Managers. Determines objectives, directs programs, develops strategies and policies, manages human, financial and physical resources and functions with a high degree of autonomy. Requires broad management and leadership knowledge to lead a project or program teams in one dept/job family. Proactively assesses risk to establish systems and procedures to protect organizational assets. Determines campus strategies for a program with campus wide impact.

Minimum Qualifications

Bachelor’s Degree and 7 years of professional experience or equivalent relevant experience, including 3 years of managerial experience in a similar type of work. Prefer degree in Business, Computer Information Systems, Management Information Systems or Computer Science.

Knowledge, Skills and Abilities

  • Experience in working with complex ERP systems and/or enterprise research systems (Pre- and Post-Award) and ability to see how the introduction of new components will impact existing setup.
  • Experience with Microsoft Suite and Google Apps.
  • Experience with relational database systems and tools (e.g., SQL and SQL query tools such as Oracle SQL*Plus).
  • Ability to accurately document business processes and ERP systems’ information architecture.
  • Ability to work with a wide range of individuals with varying sophistication and information needs.
  • Must demonstrate exceptional written and oral communication skills and have the ability to facilitate group activities.
  • Ability to work under pressure with routine interruptions.
  • Demonstrated experience as a “good listener” when discussing the needs of the research end user community.
  • Demonstrated experience utilizing critical thinking skills to proactively solve or mitigate problems, including anticipating issues, identifying solutions and providing appropriate communication to impacted parties.
  • Experience managing change through a structured approach to ensure changes are thoroughly and smoothly implemented and that the lasting efficiencies and advantages of the change are achieved through strategies of facilitation, engagement, project management, business process improvement and communication.

Essential Functions

Key Responsibilities

60% of Time the Business Systems, Assistant Director must:

  • Oversees, maintains, updates, tests and troubleshoots systems and business processes in a manner that minimizes downtime and encourages feedback from Campus Units.
  • Creates and maintains technical documentation on Systems (including Systems architecture), business processes and integration points.
  • Acts as the information security steward granting necessary access to individuals that balances the needs of positions with proper internal controls.
  • Configures, tests and coordinates validation of changes with other units or departments in required.
  • Acts as a data steward for changes, including appropriate documentation and maintenance.
  • Supports other division initiatives with representation, working on project teams and coordination of change management.
  • Utilize change management strategies to focus on the people side of project adoption. Employ approaches that help transition individuals to a future state. Assess the cultural landscape and adapt change management strategies as appropriate to meet the objectives.
  • Development of thorough testing plans for a variety of testing purposes including application testing of patchsets, software patchsets, service packs and unit/integration testing, application upgrades and implementation of new functionality.
  • Participates as primary technical lead on information technology project teams.
  • Uses Systems and business process knowledge to understand and gather customer requirements as inputs to effective Systems design and enhancements.
  • Determines, performs and/or sources systems training for all Campus Units as appropriate.

Work Environment and Physical Demands

Exerting up to 10 pounds of force occasionally (Occasionally: activity or condition exists up to 1/3 of the time) and/or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to lift, carry, push, pull, or otherwise move objects, including the human body. General office work involves sitting most of the time, but may involve walking or standing for brief periods of time.

Position will be required to execute for long periods of time. The person must have the ability to work extra hours in a week, for instance during a high priority project, at times a 60+ hour work week may be necessary. The person must be able to work on a computer project for extended periods, both keying information and reading on a terminal screen

The person must be able to hear adequately to give presentations, converse in meetings and one on one and hear on the telephone.

The person must be able to attend all day meetings and to travel for conferences.

Travel Requirement

May be required to travel with overnight stays for training.

Additional training/education or equivalent experience, as well as business need, are required for movement into higher level jobs.
