As an employee at Boise State University, you are required by federal law to complete Form I-9 to verify your identity and eligibility to work in the United States. This process is mandated by the U.S. Department of Homeland Security and administered by U.S. Citizen and Immigration Services.
To ensure timely compliance, please complete the following steps:
- Complete Section 1 On or Before Your Hire Date: All employees are required to provide personal information and attest to their employment authorization by completing and signing the Form I-9 online on or before their hire date.
- Complete Section 2 Within 3 Business Days of Hire Date: All employees must come in person to the Human Resources Office with original acceptable documents verifying their identity and employment authorization no later than the third business day after their hire date.
- Submit Verification Form By the End of Third Business Day: Upon completion of these sections, Human Resources will issue a “Verification of I-9 Completion” form to the employee. Employees are responsible for delivering this pink slip to their supervisor no later than the end of their third business day.

Who needs to complete the Form I-9?
This requirement applies to all employees, regardless of citizenship status, including full-time and part-time professional staff, classified staff, faculty, adjuncts, temporary, and student employees.
Where do I take my documents for I-9 verification?
The Human Resources Office is located in Capitol Village #3 at 2225 W. University Drive, Boise, ID 83725, on the southeast corner of campus. The office is open Monday through Friday from 8:00 AM to 5:00 PM.
What documents can I use for I-9 verification?
You must present the following acceptable documents in person to Human Resources for verification. Federal guidelines require either: One document from List A (proves both identity and work authorization), or one document from List B (proves identity) and one from List C (proves work authorization). For a full list of acceptable documents, please review this website. Common acceptable documents include:
- List A – U.S. Passport or U.S. Passport Card
- List B – State-issued Driver’s License or Boise State ID
- List C – Social Security Card or Birth Certificate
All documents must be original and unexpired. Photocopies, scans, or digital copies are not accepted.
What if my documents are lost, stolen, or damaged?
In certain situations, employees may present a receipt in place of an original document when completing Form I-9. This is permitted only if the original document was lost, stolen, or damaged, and the employee has applied for a replacement. The receipt must be an official document indicating that the replacement has been requested. This receipt is valid for up to 90 days from the date of hire or, in the case of reverification, 90 days from the date the previous authorization expired. Within that time, the employee must present the actual replacement document to complete the I-9 process. Please note that receipts for new applications or applications for initial documents are not acceptable.
I am a remote employee. How do I submit a Form I-9?

I’m a adjunct, student, or temporary employee. Do I still need to do this?
Even if you have previously submitted the Form I-9, it may no longer be valid. The Form I-9 is valid for up to three years and remains active only if there has been continuous employment without interruption. A break in service occurs when there is a period of time during which the employee is not actively employed or receiving pay. This may include situations such as resignation, termination, seasonal employment ending without immediate rehire, or other gaps in active work status. If the existing form is older than three years, or if there has been a break in service or a pause in pay, federal regulations require that a new Form I-9 be completed to ensure compliance with employment eligibility verification requirements. If you are moving to a different position within the university, please contact our office to determine whether your existing Form I-9 remains valid.
I’m a current employee transitioning to a new role. Do I still need to do this?

I’m a short-term temporary employee. Do I still need to complete an I-9?
For employees whose assignment is expected to last fewer than three business days, federal regulations require that both Section 1 and Section 2 of Form I-9 be fully completed prior to the first day of employment. This means the employee must complete Section 1 and present original, acceptable documents for identity and work authorization verification to the Human Resources Office before beginning any work.

If you’re an international student employee, start by submitting the International Student Services Letter Request Form, which takes 3–5 business days to process. Next, visit the Social Security Office to apply for a Social Security card and obtain a receipt. Finally, submit the receipt along with your I-9 and Sprintax Tax Withholding documents to Human Resources.

What happens if I miss the deadline?
Boise State University strictly enforces compliance with the federal Form I-9 requirements. Failure to complete the process by the required deadlines—or submitting forms with delays, errors, or missing information—will result in immediate termination of employment. The employee may not perform any additional work for Boise State until the failure to comply is corrected. Rehire may only be considered once the I-9 process is fully and correctly completed.
