Record Keeping

The Department/Unit should retain a fully-executed copy of any University Contract executed by the Unit, in accordance with University Policy #1020 and the Contract Policy.  Any University Contract $10,000 and over must also be archived in accordance with the Contract Policy and Policy #1020.  Track starting dates and expiration dates of the contract.

  • Ensure compliance of the terms and conditions in the contract.
  • Monitor payment(s) and deadline(s).
  • Maintain all records pertaining to the contract.

If the Office of the General Counsel (OGC) reviews the contract, those contracts that are $10,000 and above will be sent to archives on behalf of the department/unit.  Contracts not reviewed by OGC, it is up to the department/unit to send contracts to the Library Archives, email
