Most events require arrangements through Event Parking. Any vehicle parked in a Boise State University parking lot on a weekday or weekend must have a valid Boise State University parking permit or be parked in a paid stall.Ā  Free parking is not available anywhere on campus while school is in session. Certain University sponsored events, such as commencement, are exempt from these policies. Only the Department of Public Safety (DPS) or Campus Administration has the ability to exempt an event from adhering to these policies.

Any event that will require specific parking arrangements on campus must be coordinated with the Event Parking Team a minimum of ten (10) business days prior to the event start date. Event organizers that do not arrange with the Event Parking Team before this ten (10) day window may be subject to a late processing fee.

*Note: all parking arrangements should be made with the Event Parking Team prior to sending flyers, emails, notices, bulletins, etc. to guests. The Event Parking Team will not be responsible for any unauthorized parking information given to guests and may be unable to support the arrangements communicated.

The Event Parking Team will determine the need and procedure for events that are larger than our facilities can provide while school is in session. These larger events may also require the payment of traffic control or shuttles charges, which are determined on a case-by-case basis through the Event Parking Team.

The purpose for these procedures is to ensure parking for events is safe, adequate, and properly communicated to guests ahead of time. The other purpose is to protect valuable parking resources in the campus lots for Boise State students.

Fee Structure

Per Space Fee: $2.50 per space per day (Subject to change)

$20.00 per metered (reserved) space per day
Staff:Ā $18.00 per hour per staff during operational hours (6:00 A.M. – 11:59 P.M.)
Supervisor:Ā $20.00 per hour during operational hours (6:00 A.M. – 11:59 P.M.)
$75.00 per staff fee during non-operational hours (12:00 A.M. – 5:59 A.M.)

Equipment: $25.00-$200.00; fees charged based on the amount of equipment needed and how long it will take to place.

Custom Signs: $25.00-$50.00Ā per signĀ (available in standard or A-Frame size)

Shuttles: $70.00 per hour; 3 hour minimum required.

Submitting a Request

All parking requests for events managed by University Event Services must go through your Event Coordinator.

General Event Parking Request Form

To avoid being charged a late fee, a Parking Request Form must be submitted a minimum of ten (10) business days in advance before the event date for staffed events, and a minimum of five (5) business days in advance before the event date for non-staffed events.Ā  Questions about submitting a request form can be answered by calling Event Parking at (208) 426-4380 or emailing eventparking@boisestate.edu.Ā  Please keep a few things in mind while submitting a request:

  • While school is in session, some lots may be unavailable for event parking from 8:00 am to 4:00 pm on weekdays.
  • If you are unsure which type of parking is the best option for an event, information about the types of event parking can be found here or by calling or emailing the Event Parking Team.
  • Signage for an event is optional for non-staffed and staffed events.Ā  Custom signs can be made at $25 – $50 per sign. A separate form must be submitted for custom signs, along with the Parking Request Form.
  • Please provide any additional information or an event agenda so that the Event Parking Team can provide the most appropriate arrangements at the optimal time for your event.
  • For requests needing multiple locations for parking, you will be charged for all locations.

Lot Availability

Not all lots are available for use during events–and certain ones may only be available during specific time frames.Ā  Please consult with the Event Parking Team or your Event Coordinator from University Event Services for specifics based on your event.Ā  The Event Parking Team reserves the right to move parking to alternate locations based on previously arranged events.

Types of Parking Arrangements

Dash Permits

Dash permits are a printable temporary permit that can be emailed to guests, and are best used for private events when the actual attendance is known. They are flexible for when event attendees might leave and return throughout the day.Ā  The Event Parking Team will make the dash permits and send them to the event organizer. The event organizer must then distribute the dash permits to the guests prior to them attending the event. Guests must then print and have the permit displayed on the driver’s side of their dashboard before arriving for the event. The event organizer will be billed for the number of permits requested, not the actual usage.

Coupon Code

A coupon code is an eight-digit number generated and distributed by the Event Parking Team for guests to input in the payment machines to cover their parking for the day.Ā  Unlike dash permits, coupon codes allow for flexibility in vehicle attendance. After guests park, they must proceed through the payment machine steps as if purchasing parking and will be given the option to enter the coupon code at the end of the process when they would normally pay.Ā  The event organizer will be billed based on the actual usage of the code.

Event Tab on Payment Kiosks

An ā€œEvent Tabā€ or ā€œPayment Rate Tabā€Ā  is a custom option added to the payment machines titled after the event name (note: there is a limit of 20 characters for the machines; the event name may be reduced to fit this limit).Ā  Event Tabs will be turned on two hours prior to the start of the event, and will turn off at a time that is agreed upon by the Event Parking Team and the event organizer based on the provided event timeline or needs of the event.

After the guest enters their license plate, they would select the Event Tab corresponding with their event after selecting ā€œPurchase Ticketā€ on the previous page. Event Tabs are usually the best option, other than staffing, if the amount of vehicles is unknown and/or the event is open to the public.Ā  Depending on what events have been scheduled previously, Event Tabs may not always be available.

These are the options for payment:

Attendee Pay is used for any event that wants the guests to pay for their own parking. They will be charged $5.00Ā for all day parking.

Organizer Pay is when the event organizer will cover the cost of parking.Ā  They will be billed based on the usage of the tab at the current per space rate for Event parking ($2.50).

Note:

Event Tabs will appear on all payment machines within a specific location.Ā  There is the potential for misuse, as there is no way to restrict who can use them.Ā  To help mitigate this factor, the Event Parking Team will not leave Event Tabs on for the duration of an event unless specifically requested.Ā  The event organizer assumes responsibility for all uses recorded on the machine.

Bus Parking

Due to space considerations, bus parking can no longer be accommodatedĀ on campus for events.Ā  Please work with your Event Coordinator from University Event Services or The Event Parking Team (eventparking@boisestate.edu)Ā to discuss off-campus options.

Staffing

Staff are typically used for large scale events, when events conflictĀ  with other large events (concerts, Athletic events, etc.), or when parking needs to be reserved.Ā  Staffing numbers vary based on the size of the event, venue, and designated parking area. Events expecting an attendance of 300 or more guests are highly encouraged to have staff, and circumstances may require events of this size to have staffing.Ā  A minimum of one staff and one supervisor will be on shift at any time. Parking costs will be billed based on vehicles counted by staff at the current per space rate for Event parking ($2.50), plus any equipment or other associated fees.

Staffing times are as follows:

  1. Staff will be out two hours prior to the start of the event and will stay up to 30 minutes after, unless otherwise arranged.Ā  In the event traffic has not settled and guests continue to arrive even after the 30 minutes, staff will stay as long as necessary to provide customer service to guests.Ā  Any time over will be billed to the event organizer.
  2. To account for travel time, staff will be out at assigned posts within 15 minutes of the shift starting.Ā  If you would like staff to be out by a specific time, staff will need to be scheduled earlier to ensure they are out at the time specified.
  3. The Event Supervisor will be on shift a minimum of 30 minutes prior to the shift start to place any equipment that may be needed for the event.
  4. A $75.00 per person fee will be applied to any event if staff have to come in during non-operational hours (12:00 A.M. – 5:5:59 A.M.)

Equipment

These services are optional; however, some venues may require the use of equipment to reserve the space necessary to accommodate an event. There is a fee associated for equipment set-up, take-down, and use; the prices are based on how much equipment is needed and how long it will take to place.Ā  Additional equipment and/or personnel may be required by the Event Parking Team to support your event.

Such costs will be included on the estimate and final invoice and, as detailed in the other sections of these guidelines, may be associated with:

  • Actual space usage differed from estimate provided by reserving party
  • Add-on space, equipment, personnel, or services requested by the event organizer
  • Additional equipment or services required by the reserving party due to insufficient support by outside vendor.
  • Damages incurred to the event equipment resulting from a meeting or event (costs will be charged directly to the damaging party only).
  • Costs incurred by the University in responding to a violation of University policy or a law (costs will be charged directly to the violating party only).

All charges are based on the business operations of the Department of Public Safety. Such charges are itemized, explained, and can be appealed. Rate schedules, which are updated annually, are available on the Event Parking web page.

**The Event Parking Team does not loan any equipment for off-campus events, and does not permit event organizers to bring any equipment off-campus.

Tamis Barricade

If Event Parking needs to place Tamis Barricade for an event, the rates are as follows:
$25 per hour – 1-25 pieces
$35 per hour – 26-50 pieces
$45 per hour – 51-75 pieces
$55 per hour – 76-100 pieces
There is aĀ three (3) hour minimum to move Tamis without the forklift, and a two (2) hour minimum with the forklift based on the above fee structure.
If a forklift is needed to move the barricade, a $30.00 per hour forklift rental fee will be charged in addition to the above staffing fee.

Custom Signs

Custom signage or standard event parking signage can be requested for a fee of $25.00 or $50.00 per sign and shall be arranged through University Event Services and/or directly through the Event Parking Team.

Only signage created by the Department of Public Safety may be utilized for traffic and parking direction.

The Department of Public Safety will place signage at appropriate locations that will best serve event guests and campus permit holders.

The Event Parking Team must approve special requests for signage. In making this determination, the Event Parking Team shall consider the ability of the facility to support the request and the staff’s ability to accommodate the request, not the viewpoint or content of expression of the reserving party.

Shuttles

Campus shuttles can be requested for use during an event, and may be required in some cases determined by the Event Parking Team.Ā  Shuttles cost $70.00 per hour with a three hour minimum. A separate form must be filled out to request services. Shuttles may not be available based on previously scheduled engagements, or the needs of the daily campus routes.

Event Parking Late Request Policy

Staffed Event Requests

Requests must be made ten (10) business days in advance of the event. Requests will be reviewed Monday – Friday. The office is closed on weekends and holidays; requests made during those times will not be reviewed until the following workday. Requests that are submitted less than 10 business days prior to the event will be subject to a late fee based on the structure below:

  • 1st offense – Warning
  • 2nd offense – $25.00 late fee

Depending upon the lateness of the request, alternate arrangements may be needed in the event staffing cannot be provided, as requests are based on availability.

Non-Staffed Event Requests

Requests must be made five (5) business days in advance of the event. Requests will be reviewed Monday – Friday. The office is closed on weekends and holidays; requests made during those times will not be reviewed until the following workday. Requests that are submitted less than 5 business days prior to the event will be subject to a late fee based on the structure below:

  • 1st offense – Warning
  • 2nd offense – $15.00 late fee

Boise State Student Groups

Currently active, ASBSU recognized student groups qualify to receive subsidized parking. The parking request must be submitted by an Event Coordinator from University Event Services.Ā  Not sure who your coordinator is?Ā  Please call 208-426-1677 or emailĀ eventservices@boisestate.edu.

Campus Recreation

  1. Club sports using the Caven-Williams Sports Complex must get dash permits from Jared Cox to park in the spaces along the side of the Complex.Ā  Vehicles without a permit will receive a parking citation.
  2. Permits received for club sports are not valid in the West Stadium lot on event days and will be directed to the next available parking area upon arrival.
  3. Hourly parking is available in the Lincoln Garage for those wanting to use the Rec Center unless otherwise directed by parking staff

Overnight Parking

  1. Overnight parking will only be allowed for official Boise State business (i.e. Athletic or team travel, Boise State sponsored events, and business/conference travel).
  2. Overnight parking requests must be submitted a minimum of five (5) business days in advance, and are approved based on availability.
  3. Requests submitted less than five (5) business days in advance may be subject to a late processing fee (Please see the Staffed and Non-staffed Event Request sections above).
  4. Parking overnight without permission will result in a parking citation.
  5. Approved overnight parking locations are: 4th and 5th floor of the Lincoln Garage,Ā  Boas Soccer and Tennis Complex, Health Sciences Riverside South, and the 4th floor of the Brady Garage.

Note: An individual may be denied overnight parking privileges if his or her account is not in good standing with the Department of Public Safety.

Overnight Parking for Summer Guest Housing on Campus:

The individual, group, or camp organizer is responsible for requesting parking on behalf of themselves or for their group through Housing and Residence Life.Ā  The group or camp organizer may choose to pay for the parking of each attendee staying overnight or will need to charge a parking fee at the current overnight parking per space rate ($2.50) to attendees to cover the cost.Ā  No outside payments or permit options will be available to any individual or group once they arrive on campus.

Individuals who do not request a parking permit prior to arriving at their on-campus residence will be charged a $5.00 late fee in addition to the cost of the parking permit.

Groups or Camps that do not request parking permits prior to arriving at their on-campus residence will be charged a $15.00 late fee in addition to the cost of the parking permits.

An individual may be denied overnight parking privileges if his or her account is not in good standing with the Department of Public Safety.

Vendors/Contractors on Event Parking Days

  1. Vendor/Contractor access to parking on event days is subject to change based on Event Parking needs.
  2. Vendor/Contractor Permits are for official use only. These permits are not acceptable as a substitute to purchasing event parking if the permit holder is attending an event.
  3. Please contact Transportation and Parking Services for more details about contractor/ vendor parking policies and procedures.

Refunds

  1. We do not provide refunds for any transactions taken in the field; paid parking bought from an unauthorized third party not associated with Boise State University online or in person; or parking purchased through TicketMaster.
  2. DPS will provide refunds under the following conditions: if the payment machine malfunctions or arrangements were not as requested.
  3. Payment machines do not provide change, any overpayment in the machine is not the responsibility of the Department of Public Safety.

Event Payments for Groups Outside of Boise State University:

  • An event invoice will be sent via email within a week following your event by Accounts Receivable. Invoices are created manually and may take longer based on request volume or the time of the month when the invoice request was received.
  • All payments should be made through Accounts Receivable; the Department of Public Safety will not be able to process any payment received directly. For more information on accepted payment methods, please visit theĀ Account Receivable’s Payment Options page.
  • Invoices are due within 30 days of receipt by the responsible party. Notices will be sent via email 31, 60, and 89 days after failure to pay within the initial 30 days.
  • Invoices left unpaid after 90 days will be sent to collections.
Event Payments for Campus Departments:
  • If the valid department billing information is provided, payment can be made through an IDC (please do not pay parking invoices with a P-Card).Ā  A copy of the invoice will be sent to our finance staff
  • DPS Finance will reach out to confirm billing information and charges prior to taking payment

*Note: if you are working with University Event Services, the parking charges will be included in your overall invoice from them. Please do not pay parking charges separately.

Scheduling Priority

Some events take parking priority over others (Football, Commencement, etc).Ā  The Event Parking Team reserves the right to move groups to a different parking location based on previously scheduled events.

Cancellation

Reserving parties may cancel their event parking arrangements by written notice submitted to the eventparking@boisestate.edu e-mail address. Please reference the estimate number.

Cancellations by external reserving parties shall require fulfillment of payments for costs and charges set forth in the approved reservation confirmation according to the conditions listed herein:

  • If cancellation occurs more than twenty-four (24) hours but less than seventy two (72) hours before the event, then the reserving party shall pay seventy-five percent (75%) of the parking arrangements set forth in the approved estimate, plus any disbursements or expenses incurred by the Event Parking Team in connection with the reserving party’s event(s) up to the time of cancellation.
  • If cancellation occurs on the day of the event or following the event, then the reserving party shall pay one hundred percent (100%) of the parking arrangements set forth in the approved estimate, plus any disbursements or expenses incurred by the Event Parking Team in connection with the reserving party’s event(s) up to the time of cancellation.
  • Parking arrangements provided for events managed by University Event Services are subject to University Event Services cancellation guidelines.Ā  For any questions regarding University Event Services cancellation guidelines, please call 208-426-1677 or emailĀ eventservices@boisestate.edu.

Citations During Events

  • Please be aware: All parking on Boise State campus requires a permit or payment at all times, including during all events.
  • If a non-permit holder is found in an event-impacted area, a notice may be issued against the vehicle.
  • Failure to comply with Department of Public Safety staff will result in a citation at the discretion of our officers.
