ACADEMIC ALERT

  • Referral Service for instructors to request additional support for students who are struggling academically
  • Outreach conducted by the Academic Development and Recovery (ADR) team in the Advising and Academic Support Center

Narrator

The Academic Alert referral service provides faculty with an outlet for requesting support for students who are struggling academically. The Academic Development and Recovery team at the Advising and Academic Support Center will coordinate outreach between the student, faculty, advising staff, and campus resources to get the student connected with support.

REASONS TO SUBMIT AND ACADEMIC ALERT

  • Regular absences during the course of the semester
  • Low engagement and participation
  • Submits poor quality work
  • Difficulty submitting work on time or at all
  • Lack of communication with instructors or peers
  • Indications of lack of specific academic skills including, such as time management, test preparation and test taking, reading, note taking, etc.

Narrator

Specific student behaviors that may indicate a need for additional support are regular absences or low engagement and participation, poor quality work, difficulty submitting assignments, and lack of communication or responsiveness to instructor outreach.

ACADEMIC SUPPORT INCLUDES

  • Encouraging communication between students, instructors, and advisors
  • Academic coaching
  • Academic skill building
  • Short and long term goal setting and planning
  • Resource sharing and referrals

We view instructors as the first and best resource for course specific questions and guidance.

Narrator

The ADR team offers individualized support to the student based on their needs. This could include academic coaching and skill-building conversations, task planning, and referrals to content-specific resources. We will always encourage the student to connect with the instructor who submitted the academic alert to discuss course-related expectations and requirements.

Example: Instructor and student agree to meet to address late assignments and student fails to show up and is unresponsive to instructor outreach

CARE Alerts

  • Help assess and find solutions for managing distressing, disturbing, disruptive, and dangerous behaviors.
  • Submitted when a students appears to be a threat to the themselves or others, or when you have concerns about well-buing
  • CARE team follows up

Example: A student expresses that they are struggling with intence mental health issues and that is why they are not meeting course deadlines.

Narrator

Instructors have a couple of options when considering reaching out for assistance regarding student behavior. The Academic Alert system is exclusively for academic issues. The CARE alert system provides an outlet for reporting distressing, disturbing, or dangerous behaviors and is a resource if you have a concern about a student when they appear to be a threat to themselves or others or when you have concerns about well being. If an academic alert is submitted that indicates concerns about mental health or student well being, we will coordinate with the CARE team to ensure appropriate follow up.

WHEN TO SUBMIT AN ACADEMIC ALERT

Key times for intervention

  • Week 2: Allows for early intervention
  • Week 6: Support can be provided before midterms
  • Week 8: Outreach prior to the withdrawal deadline

If a student is unresponsive to both instructor and ADR outreach, we do not initiate more intensive follow-up unless there are indicators that the student is presenting distressing, disturbing, or dangerous behaviors.

It is recommended that faculty submit an Academic Alert as soon as they recognize a student’s pattern of behavior will impact their ability to be successful in the course. In general, the ADR team can be most effective at providing intervention when academic alerts are submitted prior to the withdrawal deadline. This gives the student time to consider all available academic options and address concerns in a reasonable time.

Academic alerts can be easily submitted using our Google form which can be found on the AASC website or accessed via Blackboard.

  1. Submit Academic Alert via google form
  2. ADR advisor emails student notifying them that a referral has been made and requests they schedule a meeting. Advisor includes contact information for campus resources to address specific needs. Instructor, academic advising, and Dean of Students Office are CC’d.
  3. ADR advisor calls the student if they do not respond within 3 days
  4. ADR advisor follows up with instructor in 7-10 business days

Narrator

Once an academic alert is received, an ADR advisor will email the student notifying them that a referral has been made and invite the student to schedule a meeting. This email contains information on appropriate campus resources. The instructor, academic advisor, and Dean of Students Office are CC’d on this outreach to help provide coordinated intervention. The instructor who submitted the academic alert will also be notified of the outcome of the outreach.

Here is a sample email of what is sent to a student after we receive an Academic Alert. Feel free to pause and read the email in full.

Hi Stephani,

I am contacting you in response to an Academic Alert from your UF 100 instructor. You instructor is concerned because you have not been participating in class, completing assignments regularly, or responding to communication. I work as part of a team at Boise State to assist students with developing academic skills and accessing resources to be more successful. Our advising staff would like to meet with you to discuss how this semester is going and determine how we can help you reach your academic goals. Click here to schedule a time that works for you. I’ll touch base with you in a few days to set something up if we don’t hear back from you.

Below you will find some of the many academic support resources Boise State University has to offer. Don’t hesitate to utilize these services! We can discuss them in more depth when we meet if you have questions or concerns.

ACADEMIC ALERT TIPS

  • It is preferred that instructors reach out to students directly with your concerns before submitting and Academic Alert
  • Provide as much detail about the course and your interactions with the student when submitting an Academic Alert to help us provide relevant support
  • Submit Academic Alerts early!
  • Continue dialogue with the student and ADR advisor. It is helpful for us to know if the student is continuing the behaviors or making positive changes.

A few tips to consider when submitting an academic alert: Always reach out to the student directly prior to submitting an academic alert. This helps open lines of communication. Be as specific as possible about your concerns when completing the form. This includes current grade, information about previous interactions and outreach to the student, and ways that we can assist. This allows us to provide relevant and meaningful support to the student. Submit academic alerts early to allow the student time to make adjustments, reach out to appropriate resources, and to consider a withdrawal when necessary. Maintain dialogue with the student and ADR advisor throughout the semester so we can continue to provide support if necessary.
