Employee separation and access removal

The following actions must take place prior to an employee leaving the university.

Notify Human Resources

Ensure the supervisor submits the appropriate separation paperwork to Human Resources. Visit the Human Resources website for more information.

Request access removal

Submit a request to remove access for PeopleSoft, Bronco Hub, department shared drives, and other accounts. Visit the OIT Accounts website for more information.

Gmail & Google Workspace

Employee email access ends on the last day of employment.

For Google Drive, Google Calendar, and other Google Workspace applications, the employee should review and make any necessary changes.

Maildrop & Active Directory group ownership

If the employee is the owner of any mail drop accounts and/or Active Directory groups, please notify the department or contact OIT accounts and request a transfer of ownership.

Phone and voicemail access

The employee should review existing messages. Forward or resolve any pending messages.

Zoom Phone accounts are automatically deprovisioned for faculty and staff as soon as an employee’s status becomes inactive. Phone numbers are not held; the inactive phone number is returned to the university’s pool of numbers.

Phone access for student employees

When a student employee is separated, the responsible department staff person should:

  1. Review existing messages, and forward or resolve any pending messages.
  2. Access “Zoom Phone & eFax Service Request” in ServiceNow. From the drop-down menu, select Cancel existing phone or fax service and submit the request order.

Building access

Email AccessControl@boisestate.edu with the Employee Name and ID to notify of pending exit. Access will be rescinded after 5:00 PM on the employee’s last day of work.

Return building keys to FOAM and notify them of pending exit. Return internal keys to the business administrator of the department.
