COI and Sponsored Travel

Some federal agencies (*list below) require Investigators to disclose information about all sponsored or reimbursed travel that meets certain criteria. 

You should disclose sponsored travel that is related to your institutional responsibilities to Boise State University.

You do not have to report travel if it is reimbursed or sponsored by any of the following:

      • An institution of higher education (as defined in 20 U.S.C. § 1001(a)), a federal, state or local government agency, an academic teaching hospital, a medical center, or a research institute that is affiliated with an institution of higher education. 
      • However, these references refer to a U.S. Institution of higher education or a federal, state, or local government agency within the U.S. Therefore, Investigators, including Subrecipient Investigators, must disclose all travel information related to foreign Institutions of higher education or the government of another country.

Disclosure is required when the aggregate value of sponsored or reimbursed travel exceeds an estimated $5,000 for an entity in the previous 12 months.

      • Travel for which the individual is reimbursed for by an outside entity
      • Travel that is paid for on the individual’s behalf by an outside entity
      • Includes any registration fees, accommodations, transportation costs, etc.

            • Examples of outside entities:
                • Professional societies
                • Foreign institutions of higher education
                • For-profit entities
                • Non-profit entities

Investigators should disclose the following information:

      • Entity Name: Name of outside paying entity.
      • Purpose of trip
      • Destination: Provide the city and state (for domestic travel) or city and country (for international travel) where the activity took place.
      • Duration: Provide the number of days associated with the reimbursed travel from the date of departure to the date of return, which should not include personal days.
      • Travel Paid: Include travel expenses that were covered for the trip for yourself and any family member. Expenses might include:
            • air fare
            • per diem or living expenses
            • other related expenses such as ground transportation, conference registration fees, and short-term Visa fees, etc.
